Data Deletion Policy

Hype Digital (Pty) Ltd (“Hype Digital”, “we”, “us”) respects your right to control the personal information we hold about you. This policy explains what data we collect, how long we keep it, and how you can ask us to delete it.

It applies to hypedigital.co, to any tools or forms hosted on our subdomains, to data obtained through connected platforms such as Meta and Google, and to the personal information we hold in the course of running our business.

How to request deletion, in short

Email hello@hypedigital.co with the subject line Data deletion request. Tell us your name and the email address you have used with us. We will confirm receipt within 5 business days and delete your data within 30 days. There is no charge.

We are the responsible party for the personal information described in this policy, as that term is used in the Protection of Personal Information Act 4 of 2013 (POPIA).

What personal information we hold

Depending on how you interact with us, we may hold:

  • Contact details you give us. Name, email address, company name, telephone number and anything else you include when you complete a form, request an audit, download a resource or email us.

  • Website and analytics data. IP address, device and browser information, pages visited, referral source and similar information collected through cookies and analytics tools.

  • Marketing data. Your subscription status, email engagement and any preferences you have set.

  • Client and prospect records. Correspondence, proposals, meeting notes and commercial information relating to a current, past or potential engagement.

  • Recruitment data. Applications, CVs and interview notes where you have applied to work with us.

We do not sell personal information.

How long we keep it

We keep personal information only for as long as we need it for the purpose it was collected, or for as long as the law requires.

Where you unsubscribe from marketing, we keep a minimal record of your email address on a suppression list so that we do not contact you again by mistake. You can ask us to remove that record too.

How to request deletion

You can ask us to delete the personal information we hold about you at any time. There is no charge for this.

Email hello@hypedigital.co with the subject line Data deletion request and include:

  1. Your full name

  2. The email address or addresses you have used with us

  3. The company you are associated with, if applicable

  4. Whether you want everything deleted, or only specific information

We may ask you to confirm your identity before we act on the request. This is to make sure we do not delete or disclose someone else’s information by mistake.

What happens next

  • We acknowledge your request within 5 business days.

  • We complete the deletion within 30 days of verifying your identity, unless the request is complex, in which case we will tell you and give you a revised timeline.

  • We confirm in writing once the deletion is complete, and tell you if anything has been retained and why.

When we may not be able to delete everything

There are limited circumstances where we must keep some information even after you ask us to delete it. These include:

  • Financial records we are required to retain under tax and company law

  • Information we need to establish, exercise or defend a legal claim

  • Records we must keep to comply with a legal or regulatory obligation

  • Backup copies, which are overwritten on our normal backup cycle rather than individually edited

Where this applies, we restrict the information so that it is no longer used for any active purpose, and we delete it once the retention period ends.

Third party platforms

We use third party tools to run our website, marketing and analytics. These may include hosting providers, email and CRM platforms, advertising platforms and analytics providers.

Where you ask us to delete your information, we also instruct the relevant providers to delete it from their systems. Some platforms operate their own retention rules and their own deletion controls. Where that is the case, we will tell you which platform holds the data and how to make a request directly.

Data obtained through Meta platforms

Where we hold data obtained through Meta platforms, including Facebook and Instagram, this may include advertising account data, page and campaign information, and information relating to people who have interacted with an advert or form we manage.

If you want that data deleted, email hello@hypedigital.co with the subject line Data deletion request and include the email address, advert or page the data relates to. We will confirm receipt within 5 business days and complete the deletion within 30 days of verifying the request.

Where the data sits inside a client’s own Meta account rather than ours, we will pass the request to that client and tell you we have done so, as they control the account.

Data we hold on behalf of clients

Where we deliver services to a client, we may access or process personal information that belongs to that client, for example through their advertising, analytics or tag management accounts. In those cases the client is the responsible party and we act on their instructions.

If you are an end customer of one of our clients and you want your data deleted, please contact that business directly. If you contact us instead, we will pass your request on and tell you that we have done so.

Cookies

You can clear or block cookies at any time through your browser settings. Doing so removes the data stored on your device. Where our analytics platforms hold data associated with a cookie identifier, you can ask us to delete it using the process above.

Your other rights

Alongside deletion, you have the right to ask us to confirm what personal information we hold, to correct it if it is wrong, to object to direct marketing, and to complain to a regulator.

Complaints can be made to the Information Regulator of South Africa at inforeg1@justice.gov.za or through inforegulator.org.za.

Changes to this policy

We may update this policy from time to time. The version published on this page is the current one, and the date at the top shows when it last changed.
